NatWest statements: PDF records and clean transaction imports
NatWest distinguishes an issued statement from a downloaded transaction search. Both can be useful, but a restricted search is not a complete statement. For Excel, start with the supported native transaction format where your service offers it and retain the PDF for verification. NatWest also documents delimiter problems when descriptions contain commas, so inspect the import structure before reviewing amounts.
Get the right document first
- Log in to NatWest Online Banking directly.
- For the issued statement, open Statements & transactions and choose Statements.
- Select the relevant account and year, then download the statement cycle PDF.
- For the business transaction workflow, open View transactions for the account and search the required period.
- Use Download, choose the supported PDF, OFX or CSV option shown in your service, and save the file with its selected scope.
The native transaction formats in this guide are documented in NatWest’s business help. The statement PDF route is documented for current, savings and credit-card accounts; verify the options for your own product.
PDF statement or native transaction export?
NatWest’s statement PDF is the record for a particular account and cycle. Keep it beside the working spreadsheet so that a balance difference can be traced to the source rather than repaired with an unsupported adjustment. A transaction detail PDF for one payment does not replace the full cycle.
The business download help lists PDF, OFX and CSV. NatWest separately notes that commas inside transaction data can produce incorrectly displayed comma-delimited imports. Prefer an import tool that respects quoted fields, or a supported alternative delimiter, while preserving the unmodified source file. Removing punctuation from bank descriptions should not be your first fix.
Checks that matter for this account
Comma in a description
After import, check that a merchant description containing punctuation has not shifted the amount into another column. Inspect the raw file before editing any source text.
Account and year selection
NatWest’s statement list is filtered by account and year. Confirm both before comparing a downloaded PDF with a recent activity export.
Search result scope
An export based on a transaction search may be a subset. Record filters and dates before using it in a full statement check.
Single transaction documents
Keep a payment-detail PDF as evidence for one ledger row. Do not count that row again when the monthly statement also contains it.
Build a spreadsheet you can review
Import the file into a fresh sheet, preview the delimiter and check at least one row with a comma in the description. Preserve account references as text, confirm UK date interpretation and add the statement-period field. Keep any corrected column mapping separate from the source file.
For a synthetic current account, £1,050.00 opening plus £600.00 received minus £275.00 paid gives £1,375.00. If your total differs, inspect shifted columns and search restrictions before assuming a missing payment. A zero difference is a useful control but does not prove every description or reference survived intact.
FAQ · NatWest
Where can I download NatWest statement PDFs?
In Online Banking, use Statements & transactions, then Statements, and select the account, year and cycle.
Why does my NatWest CSV look misaligned?
NatWest identifies commas in transaction data as one possible cause. Check the delimiter and quoted-field handling during import; preserve the original download.
Is the business transaction download the same as an issued statement?
No. It follows the chosen search scope and format. Keep the issued cycle PDF as the reference when you need a complete statement review.
Official bank references
The bank’s instructions take precedence. Menus and export options can differ by account, device and agreement.
