Macquarie Business Online statements: CSV and PDF balance checks

Macquarie Business Online can generate native CSV and PDF records, but the bank explicitly says its CSV omits opening and closing balances, account limits and facility details. Use CSV for working rows and PDF for that context. This guide covers the documented business service; personal banking, Cash Management Accounts and adviser platforms can expose different statement tools and should be checked in their own help.

Get the right document first

  1. Log in to Macquarie Business Online and open Accounts, then Statements.
  2. For an existing recurring PDF, choose Recurring Statements, find the facility and download the required period.
  3. For a generated record, choose the date period or custom range on the statement generation screen.
  4. Select the individual accounts you require; check any account-type filter before choosing all.
  5. Generate CSV for transaction rows and PDF for the balances and facility context, then save both files.

The business help distinguishes recurring statements from generated statements and an expiring generated-file archive. Download files you need and preserve the original period and account selection rather than relying on the temporary archive.

PDF statement or native transaction export?

Macquarie’s business CSV is a transaction list. Its absence of opening and closing balances is intentional, so a missing balance column is not necessarily an extraction error. The PDF is the source for those controls and for facility information absent from the CSV.

The generation tool can produce statements for several selected accounts within one file while keeping each account’s record separate. Inspect the actual account sections or identifiers before joining rows. A facility grouping is not sufficient evidence that all its account movements share one balance or one currency.

Checks that matter for this account

  • CSV balance omissions

Take opening and closing balances from the corresponding PDF. Do not derive an opening balance from an assumed zero or a current dashboard figure.

  • Selected accounts and facilities

Record the account list and period used to generate the file. A facility-level selection can contain several ledgers requiring separate checks.

  • Recurring versus generated files

An issued recurring statement and a custom-range generated statement may cover different dates. Keep their source types distinct when matching rows.

  • Closed-account permissions

Macquarie’s business help qualifies closed-account visibility by closure date and prior permissions. Verify the actual accessible account list instead of assuming a universal archive.

Build a spreadsheet you can review

Import the native CSV and preserve all account references and descriptions. Make a control sheet from the matching PDF with account, currency, opening balance, closing balance and period. Link each row to its source file and account before producing any cross-account summary.

For a synthetic business account, A$4,000.00 opening plus A$2,000.00 credits minus A$1,450.00 debits gives A$4,550.00. The CSV supplies the transactions; the PDF supplies the two balances needed to verify that equation. A difference should trigger a period and scope review, never an invented row to fill the gap.

FAQ · Macquarie

Why does a Macquarie Business Online CSV have no opening balance?

Macquarie explicitly says its CSV transaction export omits opening and closing balances and some account/facility context. Use the matching PDF for those fields.

Can I generate records for several Macquarie business accounts at once?

Yes, the documented tool supports selecting several accounts and produces each account’s record within the file. Preserve the account boundaries during spreadsheet work.

Do these menu instructions apply to all Macquarie personal products?

No. They are for Macquarie Business Online. Check the help and available document tools for the specific personal or adviser service you use.
